What you'll need
Before opening ChatGPT, spend 5 minutes listing the renewal email situations you encounter most often. Common ones for insurance CSRs:

Open ChatGPT (free version is fine) and start a new conversation. Run this prompt for each email type:
Write a renewal reminder email template for an insurance agency CSR to send to a client. Scenario: [paste one of your scenarios from Step 1].
Requirements:
- Under 150 words
- Includes: [CLIENT NAME], [POLICY TYPE], [RENEWAL DATE], [PREMIUM AMOUNT], [RATE CHANGE %] as fill-in placeholders in brackets
- Professional but warm tone
- Ends with a clear call to action
- Doesn't use insurance jargon
Run this for each scenario. You'll have 7 templates in about 20 minutes.

For each template ChatGPT produces:
Pick an upcoming renewal from your AMS. Open your template document, choose the right template, and fill in the placeholders with the client's actual details:
Read through the result — does it sound like something your agency would send? Make small edits if needed.
When a renewal has unique circumstances (the client just filed a claim, they're getting divorced, they're expanding their business), use ChatGPT to customize the template:
