What you'll accomplish
By the end of this guide, you'll be able to upload an actual policy PDF to ChatGPT and ask it specific coverage questions — getting plain-language answers in seconds instead of spending 20-30 minutes hunting through policy forms. You'll have a method you can use every time a client calls with an unusual coverage question.
What you'll need
What you should see: A PDF file that you can open and read — it may be 30-80 pages for a standard policy
Troubleshooting: If you can't download the form from your AMS, try the carrier portal directly — log into the carrier's agent portal, find the policy, and look for a "View Policy" or "Download Documents" option.
What you should see: The PDF name appears as an attachment in your message area. ChatGPT will confirm it can access the document.
Troubleshooting: If the upload fails, make sure you're using ChatGPT Plus — file upload is not available on the free plan. Also check that the PDF is under 50MB.
Now you can ask specific questions about the uploaded policy. Good question formats:
Important: ChatGPT reads what's in the document — it won't make up coverage that isn't there, but it also can't check endorsements you didn't upload. If a client has special endorsements, upload those too.
What good output looks like: A clear paragraph that answers the question directly, identifies the relevant policy section, and gives a concrete example — without using terms like "subject to the terms and conditions of the policy."
When you get a good coverage explanation that you'll need again (HO water damage, auto rental reimbursement, umbrella coverage explained), save it:
Over time, this becomes a reference library your whole team can use.
